Most catering problems come from questions nobody asked until the contract was signed: surprise service charges, a missing permit, not enough staff or food. Take these questions to every mobile bar or coffee caterer you talk to, compare the answers side by side, and get the important ones in writing.
When to book: people usually book mobile bars, bartenders and coffee carts about 1–3 months ahead.
The Questions
- Do you hold the liquor license and liability insurance, or do we need our own?
- Do you supply the alcohol, or do we buy it and you serve it?
- How many bartenders do you staff per guest?
- What is included: ice, mixers, garnishes, cups, glassware?
- Is pricing per guest, per hour or per drink?
- Do you check IDs and stop service to intoxicated guests?
Tips
- Plan about one drink per guest per hour, plus one extra for the first hour.
- Liquor laws vary by state and county; some venues require a licensed bartender.
Before You Sign
- Get the date, service times, menu, portions, staff count, total price and payment schedule in writing.
- Read the cancellation, headcount-change and refund terms.
- Check that the business name on the contract matches the one you researched.
- Pay deposits by credit card where possible, for buyer protection.
